Overview

When the books, client records, contracts or drawings live on a single computer, one failed drive, ransomware attack or accidental delete can take them for good. We set up a file server or NAS, plan shared folders and permissions, build backups around the idea of several copies in more than one place, and actually test a restore. After that we can come back on a schedule that suits you to check drives, updates and backup logs, and we can look after your Microsoft 365 or Google Workspace email and staff accounts.

Who it is for

  • Accounting, law, medical and real-estate offices
  • Design, architecture and engineering studios
  • Companies and shops with several computers sharing files
  • Teams on company email that need accounts managed

What we do

The work this service usually covers. The exact scope is set out in the written quote after an on-site assessment.

  1. File servers and NAS

Equipment chosen and installed, with shared folders, user accounts and permissions, so your team works from one place instead of passing files around on USB sticks and chat apps.

  2. Backup and recovery planning

Planned on the 3-2-1 rule: at least three copies, on two kinds of storage, one kept off site or in the cloud. We write down what is backed up and how long it is kept.

  3. Restore tests

We regularly restore real files from the backup to prove it works, and leave you written steps for restoring.

  4. Servers and virtualization

Several virtual machines on one server, for example accounting software and file sharing kept separate, which makes management, backup and later moves easier.

  5. Updates and health checks

System and security updates for servers, NAS and office computers, with a backup confirmed first. Alerts for drive health, storage space and backup results are emailed to you.

  6. Microsoft 365 / Google Workspace admin

Company email, accounts, shared drives and permissions; accounts opened when people join and closed promptly when they leave.

How it works

Nothing starts until you approve the quote, and parts or equipment are bought only with your OK.

  1. Understand what you have

We look at your computers, servers and where the data lives, and ask which data matters most, how long you can be down and how much recent work you could afford to lose.

  2. Plan and written quote

You get a backup and equipment plan with a written quote. Drives, NAS units and software licenses are bought at cost with the receipt, only with your approval.

  3. Setup and a test restore

We install, configure and move the data, then run a test restore. Steps that need downtime are scheduled outside your opening hours where possible.

  4. Written handover and an itemized invoice

You get a write-up of the equipment, admin accounts, backup locations and restore steps. The invoice itemizes labor, the trip charge and any pass-through costs.

Enter an address or ZIP code and choose the service to see a rough range. Tolls, the congestion toll and parking are extra at actual cost; the final figure is the written quote after an on-site assessment.

Questions

Common questions about cost, scheduling and scope.

We already use cloud storage. Do we need a separate backup?

Syncing is not the same as backup: when a file is deleted by mistake or encrypted by ransomware, the cloud copy often changes too. Some services keep version history, which helps, but it usually does not replace an independent backup. Whether you need a local or second cloud backup depends on how much data you have, your internet speed and how quickly you need to recover; after a visit we explain the trade-offs and you decide.

Can you come by for regular maintenance?

Yes. We agree on how often to check, for example monthly or quarterly, and look at drives, updates and backup logs, then send you the results in writing. Each visit is billed under our usual pricing method: trip charge plus labor time.

Will you see our company data?

We only work on the systems the job requires, within the scope you approve, and we do not keep your data on our own equipment unless the job needs it and you agree first. Admin accounts are created in your company’s name, and we recommend changing shared passwords after the handover.

Can we keep using our old server?

It depends on the hardware’s condition and whether the operating system still gets security updates. We check and explain the risks of keeping it, along with the options for upgrading or moving, and you decide.

How is the cost worked out?

The trip charge is based on round-trip mileage on the Google Maps fastest route. Labor is billed by actual time, with a 1-hour minimum per visit and 15-minute increments after that. Tolls, the Manhattan congestion toll and parking are passed through at actual cost with no markup and itemized; parts are at cost with the receipt and bought only with your approval. You get a written quote after an on-site assessment. See the Pricing page for details.
